Submission of Final Year Project Reports

Submission Schedule:

All final year project students should submit TWO hard copies of their project reports.  Hard copies submission is on 28 November 2014 (Friday) according to the following schedule:

Please make sure that you have arranged the project demonstration with your supervisor and assessor on or before week 13, and be reminded that late submission of hardcopy and/or softcopy of FYP report will be subjected to penalty of lowering one sub-grade per day.

Submission Guidelines:

Please observe the following guidelines for your FYP report submission.

A/ Hard Copy Submission

  1. Two hard copies are required; one for your project supervisor and one for your project assessor. 
  2. There is a standard template for the report cover which you may download from the end of this message (Please remember to update the supervisor code and project code as required on the cover).
  3. Report contents and sequence should strictly follow the right order as below:
    • The standard cover template having information of your name, ID no, major programme, supervisor and assessor
    • The Student Declaration Form
    • Turnitin Originality Report
    • Student's main project report
  4. All project reports should be in plastic cover with ring binding.

B/ Soft Copy Submission

The soft copy of report should be submitted through Canvas in both PDF format & MS WORD format with your Student ID as the filename.   In case of any queries, please contact Mrs Sandy Cheung at 3442 7134.  Her email address and office location is eesandy@cityu.edu.hk and P1624.  The important reminder for “FYP Report - Plagiarism Check before hard copy submission on 28 November 2014” is appended below.

FYP Report - Plagiarism Check before hard copy submission on 28 November 2014

At this stage, most of you should be preparing the project reports for submission on 28 November 2014.  You must refrain from plagiarism, i.e. failure to properly acknowledge the use of another person's work.  Students who have committed plagiarism will be subjected to penalty that includes lowering of grade, course failure, or even termination of study.  In 2008/09, a student was terminated by the University as a result of committing a serious act of academic dishonesty by plagiarizing others' work from the internet in her FYP report.

Important Reminders for Plagiarism Check/ Softcopy/ Hardcopy Report Submission

  1. To help you and your supervisor identify texts copied without acknowledgement, all students MUST submit your reports to the Turnitin System for checking on or before 24 November 2014.
  2. The Turnitin Originality Report may require days to generate. Its printout should be attached to your Project Report in hard copy submitted to the General Office on 28 November 2014.  
  3. Failure in submitting your hard copy project report on time (28 November 2014) due to late generation of Turnitin Originality Report actually caused by late submission to the system (24 Nov is softcopy submission cut-off) will lead to penalty imposed that includes lowering of grade or course failure.
  4. All softcopy submissions should be done online via your CityU’s Canvas under “Assignment”. You are required to submit your report in both PDF & WORD formats for department’s record and assessment. Similarity index of your report will be generated on the system with your PDF submission.  The system accessible period: 10 November 2014 at 9:00am to 28 November 2014 (system closing time for INFE/ECE/CE/BEngEE(Self-financing) will be made in line with the end of respective hardcopy submission sessions).  Students failing to submit either PDF or WORD file to the Canvas by 28 November 2014 will be subjected to penalty that includes lowering of grade or course failure.
  5. The Turnitin Originality Report will show the Overall Similarity Index and the related copied texts (without acknowledgement) found in your reports, facilitating the supervisors’ and assessors’ judgment on whether you have committed plagiarism. Though unlimited submissions are acceptable by the Turnitin system, please be mindful of the closing time for your major programme.

Final Year Project Presentation Schedule for Sem A, 2014/15

To: All Final Year Project Students completing projects in Sem A, 2014/15

Please be informed that the FYP Presentation Schedule has been uploaded to the FYP InfoNet.  For details, please click "Presentation" in the left part.  All students are required to note the time and venue for their assigned presentation sessions and arrive the presentation venue at least 15 minutes before the commencement of the session.  Students who need to download files should preferably arrive 30 minutes before the session starts.  Please be reminded that presentation is an essential element in FYP assessment. Students not delivering final presentation cannot pass the project course.

Please note that the following facilities are available to students during Final Year Project Presentation in Week 12 (20 – 21 November 2014):
- Computer / Notebook with CD ROM Drive
- LCD Projector
- Microsoft Office 2010 Professional
- Adobe Reader X
- Windows Media Player

Note:
- Students are not advised to download massive presentation materials through Internet during sessions. Network performance cannot be guaranteed all the time.
- Provision of other AV equipment not mentioned above is not guaranteed.

Final year project students completing their final year projects in Sem A, 2014/15 are requested to note the following for immediate actions:

   1.    Confirmation of Final Year Project (FYP) title on or before 24 October 2014 (Friday)

            (WEB site open from 20 October 2014 at 5:00 pm to 24 October 2014 at 4:00pm)

   2.    Upload the FYP abstracts to the FYP InfoNet on or before 7 November 2014 (Friday)

            (WEB site open from 20 October 2014 at 5:00 pm to 7 November 2014 at 4:00pm)

The FYP Presentation will be held from 17 - 21 November 2014 (Monday to Friday).  Your presentation schedule will be available by the end of Week 10.

Submission of Final Year Project Planning Chart and Progress Report

To: All Final Year Project Students starting FYP in Sem A, 2014/15

Please be informed that all students taking the final year project starting from Sem A, 2014/15 must submit a project planning chart and a progress report to their supervisors:

(i)  a Project Planning Chart submitted to supervisor by Week 4 of Semester A, 2014/15, and
(ii) a Progress Report uploaded on FYP InfoNet on or before 21 November 2014 by 5:00pm (Week 12 of Semester A, 2014/15).

Submission of Progress Report

All students should not submit the reports to their supervisors directly and must upload their Progress Reports on FYP InfoNet on or before 21 November 2014 by 5:00pmOne sub-grade deduction from overall per day will apply upon late submission.  The submission date on FYP InfoNet is crucial for deduction of marks. If students fail to upload their Progress Report to FYP InfoNet, they will receive zero mark. Also, please note that presentation has to be performed alongside the submission of Progress Report, demonstrating the accomplishments obtained by students as of the first semester of FYP.

The Project Planning Chart and Progress Report are attached with this email.  Your supervisor will assess your project taking into account on your performance in these aspects.

All EE undergraduate students who have pre-registered for Final Year Project starting in Sem A or Sem B, 2014/2015 are reminded to participate the Final Year Project Allocation Exercise except students who have already secured an industrial final year project OR a student proposed project OR staff’s project during the matching exercisePre-registered students who have not secured FYP must join this lottery exercise which is the last chance to choose a project to be started  in the coming academic year (2014/2015) or else you have to wait for another year.
